EBPO Meeting
May 11, 2010
- Craig called the meeting to order at 7:08 PM
- Craig called for nominations from the floor. There were no nominations from the floor.
vMotion – A motion was made to vote on the slate of officers as written Ad Hoc.
- The motion was seconded and passed.
- 2010-2011 EBPO Officers:
- President – Grace McCabe
- Vice President – Cindy Marisch
- Treasurer – Jim Loos
- Secretary – Suzanne Higgs
- Congratulations to incoming officers.
- The spring concert will be held Wednesday, May 26 (this is a date change) at 7:00 PM. There will be a reception after the concert. Grace will be asking for donations of food and beverages. Gowns and tuxedos will be collected after the concert. We will need 3 tables.
- A Pampered Chef fundraiser will take place before, during and after the concert.
- Parents will be allowed to take pictures of the students on stage before the concert during rehearsal. Please try to be as unobtrusive as possible.
- Our last three fundraisers raised $1716.00. $500.00 went to the uniform fund. The EBPO took its 20% (243.00). The rest was split between the students who worked any of the three events. Students made $17.85 per hour worked.
- It was suggested that the band hold a Car Wash on the Saturday or Sunday after band camp.
- Cathy will check the price that Crest cleaners will charge to clean the tuxedos and gowns; if the price is competitive [with] what we paid last year we will have Crest do the cleaning.
- Marching Band uniforms have been cleaned and put away.
- CDs with pictures from senior night during Marching Band will be distributed to Marching Band students.
- Treasurers Report: $5864 total in account; of that $4916 is in Students Accounts and $948 is in the EBPO general fund.
- Five senior students still owe money to the EBPO.
- A reading of next year’s Marching Band show will take place on Thursday May 27th.

EBPO Meeting April 13, 2010- Craig called the meeting to order at 7:00 PM
- EBPO Elections will be held next month (May). The following slate of officers was offered:
- President – Grace McCabe
- Vice President – Cindy Marisch
- Treasurer – Jim Loos
- Secretary – Suzanne Higgs
- The slate was seconded and voted upon. The slate will be sent to EBPO membership and voted upon at the May EBPO meeting.
- The new board will fill committee positions.
- The names of seniors who still [owe] the EBPO money have been sent to the Edison finance office. Checks will be made out to the EBPO and go through the finance office.
- The spring trip will be May 22 – 23 to Williamsburg, Virginia. The trip will include a performance opportunity, ticket to Busch Gardens, discounted ticket to Colonial Williamsburg, overnight accommodations and bus transportation. The cost will be $260.00 for students and $150.00 for chaperones.
- A motion was made to approve the spring trip to Williamsburg. The motion was seconded and the motion passed.
- There will be a reception after the spring concert (May 25). We will have a final Pampered Chef fundraiser at that time as well.
- Students in the symphonic band will be asked to turn in their gowns and tuxedos following the concert.
- A discussion on taking pictures on the stage during rehearsal the night of the spring concert took place.
- Treasurer’s report – Tim reported that there is $4000 in the students accounts, $5000 in the uniform account. The EBPO is owed $10,000 by students.
- The calendar for next years marching season including band camp dates is posted on the Edison Band website, www.edisonband.com.

EBPO Meeting
March 16, 2010
- Mrs. Reeves reported on her band classes. She has given them a small group project to work on.
- Spring concert and awards ceremony will be held on May 25th. There will be a marching band reading on Saturday, May 29th. The reading is for upcoming freshman and new band members to read through the music for next years show. Of course veteran band members are welcome. The purpose is to get everyone excited about the 2010 Marching Band season. Craig will put together a letter explaining Marching band (schedule, fees etc) to give to new members of the Marching Band. Members of the EBPO will be on hand to speak with parents concerning Marching Band.
- Jazz Band began on March 16th and things went well; Mrs. Reeves is impressed. Practice will be after school on Tuesdays and Thursdays.
- Indoor Color Guard championships are March 26-27 in Virginia Beach.
- IB Music will be offered next year. Mrs. Reeves will attend the classes needed to get the certification to teach the course.
- The EBPO has still not received a statement for FCPS bus use during the 2009 Marching Season. Sending a letter [to] the Edison administration was discussed.
- The minutes from the February meeting were read and approved.
- A Crest Card fundraiser will be held on April 17th
- A Car Wash at Mark Twain will be held on April 24th.
- A fundraiser with Texaco was discussed. Texaco sells discount cards to the band for $25.00 and we resell them for $50.00. The cards offer discounts on services at the Franconia Road Texaco next to the big Shell station. Grace will look into it.
- Spring trip was discussed. A trip to Florida will not be possible this year. A closer overnight trip was discussed. Possible destinations are Williamsburg and New York City. There will be a performance opportunity with both trips. The date will be May 7 – May 8.
- Tim gave a treasurers report we have $5000.00 in the uniform fund, [and] $7140.00 in EBPO checking; of that $5486.00 is in the student accounts. The EBPO is owed $8669.00 by students.
- A motion was made that Mrs. Reeves speak privately with students who still owe money and she will explain that the accounts must be paid up in order to go on any spring trips. The motion carried.
- Karen Ellington has agreed to take over as uniform chairperson for next year – Thank you Karen!
- Grace will speak with Ginger White about embroidering Edison High School on the covers for the percussion instruments.
- Mrs. Reeves described a rack that she had at her previous school which held the trombones. Now the instruments are all over the floor. We need to know if anyone can make one for us. Mrs. Reeves can explain what she needs. Chad Carpenter and Stuart Herder will be contacted.
- Nominations for EBPO board will be taken at the April meeting and elections will be held in May. Contact Grace McCabe to make a nomination.
- Mrs. Reeves has the completion schedule for the 2010 Marching Season. She would like input on band camp and the rehearsal schedule

EBPO Meeting
February 16, 2010
- The meeting was called to order by Grace McCabe at 7:10 PM.
- The minutes from the January meeting were read and approved.
- Tim Helwege gave a treasurers report. Currently there is $5,000 in checking, $5,000 in the uniform account, $438 in the EBPO general fund, $4,600 in students’ accounts. Currently $9,372 is owed by students to their accounts. In June we have a $500 payment due on our uniforms. Tim will send out final statements when we know what we owe for our school bus usage.
- The Treasurer's report was approved.
- Mrs. Reeves is trying to get our bus bill from the accounting office.
- Fundraising: Grace has reserved Mark Twain for a car Wash on April 24th from 9 – 3; the car wash would be from 10 – 2. This is the same day as Solo and Ensemble Festival. This car wash would be for the uniform fund. When Grace was reserving the 24th, May 1 and 8 were available for us to schedule another car wash. This will need to be done soon before they are booked by other groups.
- Crest Cards: Selling Crest Cards for the uniform fund was discussed.
- Fundraising letter: Mrs. Reeves has written a fundraising letter to distribute to local businesses. The letter was approved by the EBPO board and voted upon at this meeting and approved by those members of the EBPO present. We need ideas as to who to give the letter to and we need volunteers to distribute the letter.
- Uniforms: Uniforms will be cleaned after the spring trip not before.
- Spring Trip: The Spring Trip is planned to Orlando, FL. The original dates of April 15 – 18 will not work because most of the drumline will be at another competition. Mrs. Reeves is looking into May 5 – May 9. Mrs. Reeves needs to get approval for these dates from school administration. Approximately 45 students have committed to the spring trip. In order to be eligible for the trip the students accounts must be paid in full and the trip cost will need to be paid prior to the trip. The cost of the trip will be sent out when we have the dates confirmed and have spoken to the tour company.
- If a spring trip to Orlando does not work out, Mrs. Reeves would like to plan a trip on a Saturday to a performance of the Symphony in DC. This trip would probably take place on May 8.
- EBPO elections will be held in May, nominations will be taken beginning at the March EBPO meeting. We will also be taking names for committee leads.
- Cathy Long suggested that we find a new uniform person to begin working with her so she can show them the ropes.
- A motion was made and passed to send out the EBPO minutes to all EBPO members.

EBPO Meeting
January 12, 2010
- The meeting was called to order by Grace at 7:00 PM.
- The minutes from the November meeting were read and approved.
- Treasurers’ report - $9900 is owed by students to their accounts. We have a payment of $5500 for uniforms due in June. Currently we have $5700 in the EBPO account and $4726 in the uniform account. Grace has $300 for the uniform fund from the Pampered Chef fund raiser.
- Uniforms – A motion was made to clean the uniforms now and charge to the students accounts and then clean them again after the spring trip and charge the student accounts who participate in the spring trip.
- The spring trip to Orlando was discussed. March and April dates were discussed. The following students will be eligible to go on the trip:
- Students involved in Marching Band and:
- Concert Band
- Symphonic Winds
- Percussion Ensemble, or
- Color Guard.
- All students must meet the following guidelines
- Student accounts paid in full,
- academically eligible,
- free from referrals, detention or other disciplinary actions.
- The students will visit Universal Studios and Island of Adventure parks. [There] will be a marching performance in one of the parks.
- Several dates were discussed and several payment options.
- A vote was taken and it was decided that the first date choice is March 24 - 29. Since the vote was taken new information has come to light and the March date will not work, so the date is April 14 – 18.
- A vote was also taken on how much the trip will cost the students as well as the chaperones. The plan with the chaperones paying a reduced cost was chosen. The students will pay $470 and the Chaperones will pay $151.50. These prices are based on approximately 45 students and 10 chaperones.
- Included with the trip is accommodations, 2 breakfasts, 2 dinners, admission to the parks for 3 days, insurance and a 24 hour host.
- Fundraising for the trip was discussed. Mrs. Reeves will approach local business for sponsorships.
